Data Submission Guidelines for Non-Flority User Projects

Champions not using Flority should adhere to these guidelines to ensure a streamlined and efficient data submission process.

1. Data Submission Platform

Champions should submit their polygons and centerpoints to respective sites on TerraMatch with the help of their assigned Data Quality Analyst (DQA). 

2. File Format

Champions must upload polygons as GeoJSON or zipped shapefiles, which include all component files (.shp, .shx, .dbf, .prj).

The shapefile should be in the WGS84 (EPSG: 4326) coordinate reference system to ensure compatibility with TerraMatch. If the Champion's data is in a different coordinate reference system, they should reproject the data to WGS84 before submitting.

3. File Naming Convention

Each site should have a separate polygon file and should be named following the exact site name on TerraMatch.

Use the following naming convention for the zipped shapefile: [SiteName].zip

Example: Tokeh Community Dam.zip

4. Attribute Table

Include the mandatory fields in the attribute table for each polygon and centerpoint as specified in the appendix located at the end of this document.

Ensure that all attribute information is complete and accurate before submitting the shapefile.

5. Data Quality Assurance

Champions should inform their assigned DQA via email at least two weeks ahead of field data collection exercise. 

For projects that have already started collecting data, champions should provide this information as soon as possible and notify the DQA in advance for future data collection efforts.

The email should include the following information:

  • Project name and brief description  
  • Actual or anticipated start and end dates for data collection
  • Expected number of sites and total area to be covered
  • Any specific challenges or concerns regarding data collection

DQAs will review timeline and provide feedback via email if any corrections or adjustments are needed. 

6. Submission Deadlines

Champions should collect and submit polygons during or immediately after planting, no later than one month after the end of planting.

Polygons are submitted to TerraMatch following the 6 months reporting period, July 31, 2024, January 31, 2025, July 31, 2025, and January 31, 2026.

If a Champion anticipates any delays in meeting a submission deadline, they should notify their assigned DQA at least one week in advance and provide an estimated submission date.

7. Data Integration

DQA will review polygons submitted to TerraMatch on a rolling basis for completeness, accuracy, and adherence to the specified guidelines.

If any issues are identified, DQA will communicate with the Champion to resolve them promptly.

Once the issues are fixed, DQA approve polygons on TerraMatch and change polygons status to APPROVED.

Regular communication between Champions and their assigned DQA will be crucial for addressing any challenges and maintaining data quality throughout the submission and integration process.
