Checklists for your TerraFund Project, Nursery, and Site reports

To support you during your reporting period, we have created a guidance document for reporting on TerraMatch. It covers what to report, how to report it clearly and accurately, and how to track your progress toward restoration goals, community engagement, and socioeconomic impacts. It also helps you prepare by identifying all the data you'll need before starting your reports.

TerraFund Report Checklists 

The project, nursery, and site report checklists are designed to help you prepare for and complete your TerraFund reports. They outline the key information, data, documents, and media you will need, and provide guidance on the level of detail expected so your project manager can better understand your project's progress and overall impact. Use the checklists before starting your reports to ensure you have everything ready, this helps you submit complete, high-quality reports, reduces follow-up requests, and supports an efficient review process.

Project Report

The project report provides an overview of your project activities, achievements, and impacts during the last six months. It helps document progress against the goals outlined in your project profile, including restoration activities, community engagement, employment, and livelihood benefits.

The project report is divided into 5 sections:

• General Progress: This section captures the overall progress of your project, including activities completed, key achievements, challenges, and updates related to your restoration goals.

• New People Employed on the Project: This section captures the number of people newly employed through your project activities. Employment data is broken down by job type (full-time or part-time) and demographic categories (women/men, youth/non-youth). The employee registry template is attached at the bottom of this article.

• Volunteers: This section captures details about individuals who support your project by freely contributing their time without receiving payment. In this section you should include details about volunteer participation and the activities they supported.

• Livelihood Benefits: This section covers details on benefits created through your project beyond employment opportunities, such as training and any other benefits aimed at supporting livelihoods of local community members.

• Media and Additional Documents: This section allows you to upload supporting materials that demonstrate your project’s activities and impact, including photos, videos, or other relevant documents.

Nursery Report

Nursery reports capture updates on nursery operations, including the species grown, nursery progress, and activities related to nurseries your organization is building, expanding, or managing as part of your TerraFund project.

In the report, you should include relevant information about the seedlings you have grown during the last six months and provide a breakdown by species, and you are required to upload at least 5 photos showing your nursery activities and progress.

Site Report

The site report captures updates on restoration activities at your project sites, including planting progress, assisted natural regeneration activities, maintenance, and monitoring.

Site reports are divided into 5 sections:

• General Site Updates: You will need to provide updates from the last six months, including the current stage of restoration work, completed activities, and any important update at the site.

• Planting Progress: You will share updates on the planting progress including updates on any tree or non-tree growing progress, planted species and any relevant restoration activities completed.

• Assisted Natural Regeneration Progress: you will indicate whether a significant portion of restoration progress at the site is expected to come from Assisted Natural Regeneration (ANR) practices. Include details on the ANR activities being implemented.

• Maintenance and Monitoring: You will report on seedling survival, maintenance activities, monitoring efforts, and any replanting activities carried out at the site.

• Photos/Videos: You will upload images and videos that demonstrate restoration activities and site progress. You are required to upload at least 5 photos and videos.
