This article aims to help you understand the statuses that are shown on applications, project, site, and nursery profiles, reports, and polygons on TerraMatch.
Everything your team works to submit on TerraMatch has a status associated with it. The status indicates whether the entity is complete and quality-assured, or somewhere on its way to that state. Review the sections below to understand what each one means, and see the color typically associated with that status tag.
The statuses that exist on TerraMatch are outlined below:
Project, Nursery, and Site Profile Statuses
Change Requests and Change Request Statuses
Application Statuses
If you are applying for funding on TerraMatch, your application may be in any of the following statuses:
- Draft - this means your application is started, any data you've entered in the application form is saved, you can continue to update the application form, and it has not been submitted for vetting.
- Pending Approval - this means your application has been submitted for review by the vetting team, and you cannot make any changes.
- Information Required - this means your application was submitted and a representative of the vetting team has reopened it so you can update the information or documents. The team will either reopen the entire form or reopen selected fields for your team to update, and they will send you feedback explaining what is needed. You will see this feedback when you reopen the form to edit it. After you are done making changes, you will need to "Submit" the application again for further review.
- Approved - this means that the vetting team has approved your application, and all of your application details are now included in a draft project profile.
- Not Selected - this means that the vetting team did not select your application to be funded.

Project, Nursery, and Site Profile Statuses
Once you start to set up your project, nursery, and site profiles, you will notice that they are categorized with a similar suite of statuses to the above:
- Draft - this means the profile is started, you can continue to edit it and save changes as you go, and it has not yet been submitted for review by your project manager.
- Pending Approval - this means the profile has been submitted to your project manager for review, and you cannot make any edits. Your project manager can either request more information, or approve the profile.
- Information Required - this means your project manager has reopened the profile and sent feedback on the updates they need your team to make. You can edit any fields that require updates. Be sure to "Submit" again after your updates are complete, so that your changes surface for your project manager to review.
- Approved - this means that your project manager approved the information in the profile. If you need to make further changes, you can edit the profile, press "Submit" once you've made your changes, and your project manager will review the requested updates.
Report Statuses
All types of reports on TerraMatch use a consistent set of statuses, as follows:
-
Due - this means that a report is generated and available to fill out, but you have not started it yet.
-
Draft - this means you have started filling out a report, any data you've entered in the report form is saved, you can continue to update the report form, and you have not yet submitted it for your project manager to review.
- Pending Approval - this means the report has been submitted to your project manager for review, and you cannot make any edits. Your project manager can either request more information, or approve the report.
-
Information Required - this means your project manager has reopened the report and sent feedback on the updates they need your team to make. You can edit any fields that require updates. Be sure to "Submit" again after your updates are complete, so that your changes surface for your project manager to review.
-
Approved - this means that your project manager approved the information in the report. If you need to make further changes, you can edit it, press "Submit" after making your changes, and your project manager will review the requested updates.
Change Requests and Change Request Statuses
If you need to make changes to an approved project, nursery, or site profile or report, you can do so by clicking on the "Edit" button on that entity, and updating the relevant fields. When you open an approved profile or report to edit it, that action creates a change request, which then has a status.
If you don't actually make any changes, or you make changes but don't submit them, your change request will remain in "Draft" status, and you won't actually see this status displayed anywhere. You will only see the change request status once you press "Submit" and send your change request to your project manager to review.
- Change Request Pending Approval - this means that your change request has been submitted to your project manager for review, and you cannot make any further changes. Your project manager can either request more information, or approve the change request.
- Change Request Information Required - this means your project manager has requested clarification on the requested change. You can edit any fields that require updates. Be sure to "Submit" again after your updates are complete, so that your changes surface for your project manager to review.
- Change Request Approved - this means that your project manager approved the information in the change request. This will update the over all status of the profile or report back to "approved."
Polygon Statuses
Within each site, any polygons that you submit will be outlined and shaded to reflect their status:
- Draft - this means that your polygon is created, but either the geometry or attributes may be incomplete. You can edit the geometry and attributes of the polygon, save changes, and run validation checks to ensure the polygon meets TerraMatch's requirements.
- Pending Approval - this means your polygon has been submitted and is awaiting review by a GIS analyst. If you edit the polygon's geometry or attributes, it will return to draft status and you will need to resubmit it for review. Your GIS Analyst can either request more information, or approve the polygon.
- Information Required - this means that your GIS analyst has requested updates on your polygon. You can make the required changes and then submit the polygon again for review.
-
Approved - this means that your GIS analyst approved the polygon's geometry and attributes. If you need to make further changes, you can; your polygon will revert to draft status, and you will need to resubmit it so that your GIS analyst can review.
